Job Description
Apple Recruitment are recruiting for a Band 3 General Secretary on behalf of our client, South Eastern Health and Social Care Trust, and be based in the Belfast area.
The post holder will be expected to carry out a wide range of secretarial/administrative tasks including the use of word processing/audio typing, minute taking and use of other computer packages/programmes. The post holder will also be expected to deal with non-routine activities such as answering queries, progress chasing and task related problem solving using their own initiative.
Main duties and responsibilities:
- Word processing/audio typing letters/producing reports.
- Sorting and responding to mail as appropriate.
- Dealing with general enquiries.
- Maintaining diaries.
- Minute taking.
- Arranging meetings.
- Sorting and processing information.
- Preparation of statistical information.
- Dealing with requests for information.
- Making appointments.
- Dealing with telephone calls.
- Photocopying/scanning.

1a). 4 GCSE’s Grades A-C to include English Language (or equivalent Qualification)
AND 1year’s Secretarial /admin /clerical experience.
OR
1b.) NVQ Level 2 in Administration (or equivalent qualification)
AND 1 year’s secretarial /admin /clerical experience.
OR
1c.) 2 year’s secretarial /admin /clerical experience.
2a.) RSA/OCR Stage II Text Processing Part I and Part II (or equivalent/ above qualification).
OR
2b.) 1 year’s word processing experience, to include typing and formatting of reports and letters.
3.) Experience in using Microsoft packages to include WORD, EXCEL, and OUTLOOK.
4.) For posts involving audio-typing: Audio Typing Qualification OR 6 months audio working experience
5.) Essential skills and knowledge:
- Ability to work as part of a team.
- Ability to use own initiative.
- Excellent organisational skills with an ability to prioritise own workload.
- Effective communications skills to meet the needs of the post in full.
- The ability to work in a challenging and changing environment.
- The ability to ensure accuracy in own work.
- The ability to effectively use office admin systems such as diary management and filing systems.
- Knowledge of the Data Protection Act.
6.) Hold a current full driving licence which is valid for use in the UK and have access to a car on appointment. This criteria will be waived in the case of applicants whose disability prohibits driving but who have access to a form of transport approved by the Trust which will permit them to carry out the duties of the post.
*Please note for the purpose of this recruitment exercise not all posts will require candidates to have a driving licence. Therefore this criteria will not prevent applicants from being shortlisted*
Desirable Criteria:
- Experience of using a computerised database.
- Experience in the effective use of office admin systems such as diary management and filing systems.
Further Details:
- Hourly Rate: £11.67
- Hours: 37.5 hours per week, Mon – Fri, 9am – 5pm
- Duration: Up to 3 months with possibility of extension
