Personal Assistant

On behalf of our client, a global supplier, we are seeking to recruit an experienced Personal Assistant to join their Banbridge office.

This is a varied role for a PA. Reporting to the Managing Director the P.A will provide secretarial support such as audio typing, diary management and travel arrangements as well as covering project management and assisting with the Marketing function.

Applicants will need to demonstrate recent experience of audio typing, strong attention to detail and the ability to cover a varied role.

Duties will include:

  • Providing a full confidential secretarial and administrative service to the MD, FD and Chairman.
  • Maintaining MD’s diary and bring forward system.
  • Project management as directed by the MD.
  • Typing of confidential correspondence for management as required.
  • Completing MD’s expenses claims and maintaining records of same.
  • Organising all internal and external management meetings as required by the MD, FD or Marcomms team.
  • Taking notes at meetings as required.
  • Reviewing meeting action points and following up where required.
  • Organising all travel arrangements for the MD and other staff as required.
  • Tidiness and cleanliness of offices both through employment of cleaning staff and ensuring other staff maintain standards set by MD.
  • Working with the Marketing Manager to source company PR material, such as displays, clothing, stationery and corporate gifts.
  • Maintaining and updating the company Photo Library.
  • Proof reading and checking company literature and other marketing material
  • Assisting with promotional activities, shows etc.
  • Ensuring the Brand is protected and that all Marcomms initiatives adhere to the company Brand Guidelines.
  • Working with the Marketing Manager to produce the regular internal publication
  • Attending Brand Ambassador meetings
  • Working with Brand Ambassadors to ensure action points from these meetings are followed up
  • Creating and circulating internal emails and memos
  • Other duties as requested by the MD.

Applicants will need to demonstrate:

  • Strong copy and audio typing skills and accuracy
  • Good knowledge of Microsoft software packages including word, excel and Powerpoint.
  • A high level of attention to detail.
  • Excellent written and oral communication skills
  • Excellent literary and numeracy skills
  • Discretion, tact and diplomacy
  • Flexibility, adaptability and initiative
