Part-Time Personal Assistant

On behalf of our client, a Director and Chairman of a successful events Business, we are seeking to recruit an experienced Personal Assistant to provide support in a new Not-For-Profit organisation, running events focused on mental health. This is a part time role with flexible hours to be agreed. Office based in Saintfield County Down.

The Personal Assistant will assist with the planning, preparation and organisation of events as well as providing Administrative support. Duties will include:

·Assisting with the maintaining of office systems, including data management and filing;

·Arranging travel, visas and accommodation and, occasionally, travelling with the Director to take notes or participate in meetings or to provide general assistance during presentations;

·Making outgoing phone calls, enquiries and requests;

·Telephoning, emailing, meeting and greeting visitors at all levels of seniority; this will include celebrities and VIPS as well as sponsors and delegates.

·Maintaining complete confidentiality.

·Organising and maintaining diaries and making appointments;

·Dealing with incoming email, faxes, post and correspondence;

·Making use of social media and other electronic links and systems

·Carrying out both primary and background research and presenting findings;

·Contacting and interfacing with schools, youth groups and similar organisations;

·Producing documents, briefing papers, reports and presentations;

·Organising and attending meetings

·Preparation for meetings;

·Liaising with clients, suppliers and other Action Trauma team members.

Applicants will need to demonstrate:

·Experience in a similar role including diary management and making travel arrangements.

·Previous experience preparing reports and briefings for meetings.

·Previous experience taking minutes of meetings.

·Previous bookkeeping skills will be helpful.

·Strong word processing, Excel spreadsheet and Powerpoint skills.

·The ability to research topics, subjects etc.

·Excellent communication skills, professional and presentable.

·An understanding of social media platforms and the ability to utilize these to promote business needs.

·Be compassionate, positive, enthusiastic and self-motivated with an eye for detail.

Due to the nature of this role, the successful candidate will need to undergo an Enhanced Access NI clearance.

Hours of work will be five half days (approx. 4 hours each) per week with times to be agreed. However, you may be required to work outside the agreed hours from time to time to attend events and meetings. The ability to travel is also essential.


Salary offered £12.00 per hour payable at the end of each month. Holidays 21 annual and 9 statutory days per annum
