Office Coordinator

Due to continued growth, we are seeking to recruit an Office Coordinator, for our client, a highly successful and growing Estate Agency in South Belfast.

We are seeking an individual with previous experience in the rental and property sales market. The Office Coordinator will report to the Director and be responsible for the day to day running of the office. The person will need to demonstrate a high level of initiative, ability to multitask and make decisions.


  • Identify and resolve property management issues through to completion.

  • Be proactive in maintaining landlord and tenantrelationships.

  • Instructing repair works and ensuring completion of works in a timely manner.

  • Management of leases and tenancy renewals.

  • Answer general sales and lettings enquiries along with dealing with the general public calling into the office.

  • Ability to deal with the public face to face and ability to interact with them to a professional level.

  • Advising potential purchasers on available properties, and looking for business opportunities by ways of sourcing valuations which lead to successful registrations.

  • Ensure appointments and valuations are managed efficiently in the office diary.

  • General awareness of front office presentation and ensuring that brochures and price lists are fully up to date.

  • Upload images to website and internet.

  • Ability to work in an extremely busy office environment and with a proactive approach, using their own initiative and without full support.


The Agency covers Belfast City Centre, Greater Belfast and across NI and is renowned for their approachable and trustworthy service, they have a broad base of clients and forge quality relationships. We are seeking an individual who is professional, methodical and organised as well as demonstrating the ability to provide a high level of customer service in a business to business environment. You will need to have excellent communication skills and interpersonal skills as well as a great level of attention to detail.


  • Experience of Lettings or Sales is desirable but recent previous administrative experience is essential.

  • Educated to degree level.

  • Working knowledge of Microsoft Office software including word, excel and outlook

  • Ability to work in an extremely busy office environment

  • Excellent organisational and time management skills

  • Strong customer service skills in a business to business setting.

  • Excellent verbal and written communication skills.

  • The ability to prioritise, multi-task and organise your daily tasks as well as strong attention to detail.

  • Be highly professional in appearance and ethos.

  • Have a strong work ethic and the enthusiasm to learn and progress in a business environment.

  • A full driving licence is desirable.

Salary offered is negotiable depending on experience and anticipated between £18-20K. The company also offer a range of incentives and benefits which can be discussed at interview stage.
