Event Coordinator

Due to our client’s continued success, we are delighted to be recruiting an Events Coordinator to join their Saintfield based Marketing Agency Team.


This is a new post which has been created to help accommodate the company’s growth and it carries a high degree of responsibility. The Events Coordinator will be responsible for carrying out a variety of key functions:

Work with customers to gain information needed for the event for show guides/online etc.

Assist with negotiation of contracts and appointment of subcontractors, including:

  • Security, car parking and cleaning
  • Insurance, Fire precautions, First Aid and Health & Safety
  • Transport, storage and mechanical handling
  • Waste removal, Fork lift truck and other equipment hire
  • Provision of services and facilities at Show venues including power, water, A/V equipment.
  • Staff and exhibitor accommodation and travelling
  • Visitor access and parking
  • Communications equipment, Internet facilities
  • Programming, timing and scheduling
  • Catering facilities
  • Documentation, Health & Safety record keeping and filing

All team members help with the running of events which is an excellent opportunity to meet clients and helps to build a great team spirit. There are currently 4 events of the course of a year and of these may require overnight hotel stay.

As the Events coordinator you will also be responsible for:

  • Arranging the transportation of the magazine to distributors and mailing houses.
  • Manage the storage and stock of magazines together with the posting and subscription function.


  • Organisational Skills: This is a critical requirement and should come naturally to you. This includes the ability to plan efficiently and effectively, schedule, prioritise, communicate clearly to all stakeholders, keep on time, track and assist with the delivery of a number of projects that are running concurrently. Please demonstrate on your CV the type and size of events you have organised as well as the duties you carried out whilst organising these events. These should be events at external venues of over 50 attendees to include speakers, presenters or exhibitors. Your experience will need to be at least 1 year in this type of role.
  • IT Skills: Strong working knowledge of standard Microsoft software packages including MS Access but also have an innate interest in IT/software in general. This could be demonstrated by having some experience in network management, servers, database management e.g. SQL, website creation/management etc.
  • People Skills: Applicants must demonstrate the ability to work closely with colleagues as well as customers and sub-contractors/suppliers for each event. It is critical that you are timely, clear and concise with your interactions and correspondence. You must demonstrate the ability to negotiate and price services. You will also need to be assertive but diplomatic and empathetic.
  • Practical Skills: The successful candidate should be naturally confident in carrying out a range of practical tasks. In particular, the ability to improvise and solve problems on the spot by coming up with realistic & practical solutions that can be implemented at the event there and then.

Salary offered : £24K+ per annum.

The company operate a statutory pension scheme.

Holiday entitlement is 21 days per annum plus 9 statutory days.

Free Car parking.

Normal office hours 9am until 5pm, Monday to Thursday. Friday until However, your post is one which will require some flexibility and occasional out of hours work as necessary at our events. All extra time is either paid or taken in lieu. Lunch break half an hour. Morning and afternoon tea break.
