Digital Communications and Administrative Executive

On behalf of our client, an innovative and influential Belfast based Not for Profit organisation, we are seeking an individual who can provide administrative support at board level as well as managing the company websites and Digital Platform and related social media.

Reporting to the Chief Executive, the Administrator would work independently on a full time, permanent basis. This can be based at the Belfast Office or as a work from home opportunity however the successful candidate would need to be available to attend meetings between 5pm and 6.30pm during the week.

Duties include:

1.     Manage emails + phone calls

2.     Preparing training course materials as required

3.     Coordinate registration and assist in planning events (Networks, Awards, etc)

4.     Work closely with Finance in customer work orders & invoicing procedures

5.     Monitor and support Credit Control Management

6.     Manage membership renewal due dates and instruct finance on issue of invoices

7.     Regular review off e-Tenders NI and inform team members as applicable,

8.     Maintenance of a sustained public relations programme including the production of press releases, membership communications, Quarterly Compete Newsletter and submissions on policy development etc.

9.     Overall Responsible for General Office Administration.

10.  Participate in Executive Team meeting and Directors Board meetings

11.  Managing the company websites and Digital Platform and related social media. Work with the Executives team in the creation and delivery of engaging content for the website, e-zines, travel blogs and online activities, calendar and events.

Support Executives in the formulation of flyers text and narratives for events and managing the EventBrite platform, monitoring applications, payments and confirming bookings and programme details and inform the project leader / Executive accordingly.

Manage and maintain the company database and adhere to data privacy legislation.

Create connection links for Webinars, training sessions, manage registrations, payments, and send out connection information to participants.

Digital support underpinning on-line training programs using Zoom, Adobe Connect, etc

Reach out to potential customers (personal and organizations) to follow Social media in order to grow marketing reach

Upload daily posts and/or articles on social media and the website and link them together if applicable

Contribute to design, graphics etc with Executives for social media posts

Review and analyse social media platform analytics and provide feedback to the CEO & Executive team.


Applicants will need to demonstrate:


·         Experience in a similar role with experience if the following is essential:

o    Coordinating and planning events

o    Managing or influencing the digital and communications functions of a service-based organisation with diverse stakeholders

o    Management of website and social media content

o    Providing documents and reports

o    Ability to take minutes at meetings.

·         Excellent communications skills.

·         Ability to manage and provide support to senior level management.

·         A marketing or Business qualification would be an advantage.

·         You will need strong Microsoft Office skills.

The successful applicant can expect a starting salary between £28 and 30K depending on skills and experience.
