Business Support Officer

On behalf of our client, we are seeking a Business Support Officer on a full time, permanent basis in within their Belfast office.

Reporting to the Senior Data and Analytics Officer, the Business Support Officer will assist in the development of the HR Information System (HRIS) and provide statistical reports and trend analysis.

You will need:

·Good general level of education to include at least 3 A Levels (at a minimum of Grade C or above) and GCSE English and Maths (at a minimum of grade C or above or equivalent).

OR

·QCF Level III (previously NVQ) in Business Administration or equivalent relevant qualification.

AND

·Twelve months’ administration experience (in last three years) working in a business environment including operation of a bespoke computerised system.

·Demonstrable experience of working in an environment regulated by set working policies and procedures.

·Excellent level of IT literacy with demonstrable experience of Microsoft Office and in particular experience in the use of Microsoft Excel spreadsheets including the production of graphs, charts and pivot tables with the ability to manipulate and interpret data and produce analytical reports.

Duties include:

1. Facilitate first level support for HRIS including logging and monitoring response to helpdesk queries, and escalating as required.

2. Establish and maintain effective working relationships with HRIS provider, including attendance at user groups as requested.

3. Assist with resolving problems arising from data input / interpretation for HRIS.

4. Report on a weekly/monthly/quarterly/annual basis business metrics eg absence; recruitment; turnover; equality; training, identifying trends and patterns.

5. Administer salary changes as and when required.

6. Develop and test systems for the management of HR processes.

7. Meet relevant statutory obligations and assist with the preparation of FEC Annual Monitoring returns and three yearly Article 55 return.

8. Carry out routine audit of internal HR processes e.g. changes to terms and conditions of service, new start information, salary details, leave calculations etc., highlighting any areas for concern.

9. Assist in the preparation of files for external audit purposes e.g. ISO audits and assist with the follow through of any action points to drive improvement

10. Ensure the recruitment of employees is in accordance with current legislation and the Association’s Recruitment and Selection Policy including auditing of the process.

11. Participate in shortlisting and interview panels as and when required.

12. Produce monthly reports across a range of agreed areas highlighting trends, patterns and non-compliance.

13. Provide a comprehensive administrative support to the HR team, including answering phones and dealing with queries, filing, providing cover at Reception as required.

 

The organisation offers a starting salary of £21,748, based on a 37 hour week, and a great range of benefits including: 22 days annual leave plus 13 statutory days,on-job training, a contributory pension scheme, a health cash plan which can provide help with dental, optician and medical costs (including cover for dependent children in full time education up to 18 years of age), a monthly car allowance, free employee health checks and a Cycle to Work scheme.
